EULAR invites you to submit a late-breaking abstract to the European Congress of Rheumatology, EULAR 2024, to take place onsite in Vienna.

IMPORTANT NOTES

• Late-breaking abstract submission opens on 15 April 2024 00:01 CEST and closes on 28 April 2024, 23:59 CEST. This is around 5 weeks before the congress starts.
• Late breaking abstracts are defined as: ’highly significant and timely findings in rheumatology that were not available by the regular abstract submission deadline’, that were not available by 15 January 2024 (the deadline of regular abstract submission).
   
• In the submission process, two fields must be filled out by the authors:

1. What makes your work highly significant? max. 50 words/250 characters without spaces
2. Why was the data not available by 15 January 2024? max. 50 words/250 characters without spaces

• Reviewers for late-breaking abstracts are the congress chair, the abstract chair and the EULAR steering group. The review form includes an additional field "Is late submission justified?" which can be answered "Yes" or "No".
• The abstract chair consolidates the scores and assigns the abstracts to an oral abstract session. There will be no other accepted categories for late breaking abstracts.
• Abstracts will be reviewed, assigned to session(s), and authors notified on the week of 13 May.

Content Rules and regulations

The following specific rules and regulations apply to late-breaking abstract submission:

1. Late-breaking abstracts must be submitted under the dedicated submission track (late breaking abstract). To submit a late breaking abstract, a non-refundable processing fee of EUR 100 will be charged at the time of online submission. Authors of rejected, incomplete or wrongly submitted abstracts will not be refunded.
    
2. Splitting of data (salami-slicing) originating from the same study across several abstracts and/or topics is not permitted and will lead to rejection of the abstracts.
    
3. It is mandatory to use the abstract word template provided by the system. Please read all instructions carefully before preparing your abstract.
    

4. Characters counted towards the 3600 characters:
   — Abstract title (minimum 15, maximum 300 characters)
   — Headings and content of the abstract word template, structured into the following sections:
   a. Background
   b. Objectives
   c. Methods
   d. Results
   e. Conclusions
   f. References (optional)
   g. Characters from table content including title and footnotes

Characters not counted, but part of final abstract:

•  Author first names, middle initials and last names
• Author affiliations
• Acknowledgements including working group
• Working group + "on behalf of" if entered
• Abstract number
• Conflict of interest (COI)
• Invisible characters such as spaces

5. Tables and figures (characters included count): 

• A total maximum of any two figures, graphs, images or tables is allowed per abstract, e.g. 1 graph and 1 table, or 2 graphs, or 2 images. Multi-panel figures are allowed.

• Abstracts with one or more tables should not have more than 12 columns or 20 rows. Tables turned into pictures/images are accepted, they but should have sufficient quality that everything is readable. Data cannot be edited after the abstract has been accepted.

6. Late-breaking abstracts can be re-edited and modified up until the submission deadline (28 April 2024, 23:59 CEST). After the submission deadline, no modification will be accepted by the EULAR team. Please ensure that your late-breaking abstract does not contain any spelling, grammatical or scientific errors, as it will be reproduced exactly as submitted. No proofreading will be done.

7. Late-breaking abstracts accepted for the congress are subject to the EULAR embargo rules. With the submission of their late-breaking abstract, the author agrees to the EULAR embargo rules. 

8. Conflict of interest: It is the intent of EULAR to provide high quality sessions focused on educational content that is free from commercial influence or bias. Thus the submitting author of an abstract is requested to declare any potential conflicts of interest for all authors during the abstract submission.

9. The inclusion of trade names and/or brand names is not allowed in the abstract. The mentioning of agents and molecules must follow the scientific standard for publications.

10. The corresponding author has the right to grant, and does grant, on behalf of all authors an exclusive licence on a worldwide basis to the BMJ Publishing Group Ltd and EULAR to publish the abstract (if accepted) in any media and to exploit all subsidiary rights.

12. Only late-breaking abstracts that contain original data can be submitted.

13. Late-breaking abstracts will be reviewed blindly. The reviewers will judge the late-breaking abstracts according to the scientific or clinical value, relevance to EULAR, suitability of methods to aims, conclusions confirmed by objective results, objectivity of statements, description of methods used, ethics, originality of work, standard of English and overall impression.

14. Late-breaking abstract acceptance will be as oral presentation, there will be no other acceptance categories. All accepted late-breaking abstracts will be presented onsite by the delegated presenting author. 

15. Should the late-breaking abstract be selected for oral presentation, the authors, represented by the presenting author will be required to sign an agreement to grant EULAR the right to record the presentation (audio and slide) and subsequently use it for educational purposes (with or without a fee). 16. Accepted late-breaking abstracts will be published in a supplement to the Annals of Rheumatic Diseases (ARD). Information on accepted late breaking abstracts (title and authors) will be available online about two weeks prior to the congress. Published late-breaking abstracts will be available in the EULAR Abstract Archive during and after the congress.

17. The submission of an abstract constitutes a formal commitment by the presenting author to present the abstract (if accepted) in the session and the time assigned by the EULAR Congress Committee. We therefore recommend submitters of late breaking abstracts to register for the congress at the time of late-breaking abstract submission.

18. Abstracts not adhering to these guidelines will be rejected. If you do not agree with any of these rules, you should not submit a late-breaking abstract. The final decision about acceptance of a late-breaking abstract will be taken by the EULAR Scientific Programme Committee. EULAR does not communicate, nor enter into correspondence on the reasons for acceptance/rejection of an abstract.

19. Withdrawal of your late-breaking abstract is not possible after final submission (28 April 2024 23:59 CEST).

Instructions for late-breaking abstract presentations

If an abstract is selected for oral presentation, the presenting author shall:

• As specified at submission, present in the assigned session. Details will be communicated to the presenting author.
• Sign an agreement in representation of all the abstract authors, to grant EULAR the right to record the entire presentation (audio and slide) and subsequently use it for educational purposes (with or without a fee).
